Privacy Policy
Effective date: October 11, 2026 · Last updated: October 15, 2026
This Privacy Policy describes how CELPass (“we,” “us,” “our”) collects, uses, discloses, and protects information when you use our Services. By using the Services, you agree to this Policy and our Terms of Service.
1) Information We Collect
1.1 Information You Provide
Account and profile: name, email, avatar (if you choose to provide one).
Content and activity: practice attempts, answers, recordings, feedback.
Support messages: requests, bug reports, and any attachments you send us.
1.2 Payment Information
Payments are processed by third-party providers. We do not store full card numbers on our servers.
1.3 Automatically Collected
Log and device data (IP, browser, pages viewed, timestamps, referrers).
Usage data (feature interactions, performance metrics).
Cookies/SDKs for session continuity, preferences, and analytics.
2) How We Use Information
Provide and maintain the Services.
Improve usability and performance.
Check that our AI scoring is accurate, using official CELPIP scores you send us in a CLB 9 refund claim.
Communicate with you (service notices, support).
Prevent fraud and abuse; enforce our policies.
3) Cookies & Tracking
We use cookies and similar technologies to keep you signed in, remember preferences, and measure aggregated usage. When you first visit, we note the page you arrived on and the site or campaign that sent you, and link it to your account if you sign up. We use Google Analytics and PostHog to understand how the site is used; they receive a pseudonymous account number, never your email or test answers. You can control cookies in your browser; some features may not work if you disable them.
4) Sharing & Disclosure
We share information with service providers who help us operate the Services (payments, hosting, authentication). These providers are contractually bound to protect your data. We may also disclose information in response to legal requests or to protect rights and safety.
Teacher directory: when you send a class request or invite a teacher, we email that teacher your name, email address and message so they can reply to you. If you list yourself as a teacher, your profile (name, photo, description, languages, time zone and price) is public once approved; your email address is not shown.
We do not sell your personal information.
5) Data Retention
We keep your data while your account is active. You can delete your account at any time from your Profile page. We then cancel your subscription and sign you out at once, and permanently delete your account and personal information 7 days later (log in during those 7 days to keep your account). We may wait longer only to resolve an open refund claim or dispute, and our payment processor keeps payment records as long as the law requires (e.g., 7 years for tax compliance).
6) Legal Basis & Your Rights
We process your information to provide our services, improve our platform, with your consent when needed, and as required by law. We comply with applicable privacy laws (PIPEDA in Canada, GDPR in the EU/UK).
Depending on your location, you have rights to access, correct, delete, or request a copy of your data. You can also object to certain processing or file a complaint with your local data protection authority.
To exercise these rights, contact us at [email protected]. We will verify your identity and respond within 30 days.
7) Security
We implement reasonable safeguards to protect information; however, no method is 100% secure.
8) International Transfers
Your data may be processed in countries other than yours; where required, we use appropriate safeguards for transfers.
9) Children’s Privacy
Intended for individuals 18+. We do not knowingly collect data from children; contact us if you believe a child has provided data.
10) Changes to This Policy
We may update this Policy; if changes are material, we’ll post the update and revise the effective date above.
