David: Thanks for coming, both of you. We’ve got the final dates for the vaccination clinic—two full weeks starting next Monday. The health department wants us to ensure there’s volunteer coverage for greeting patients, managing paperwork, and helping with post-vaccination observation.
Lena: Right, and we’ve got about 25 volunteers total. The tricky part is that some people can only come in the mornings, while others are only free in the afternoons or weekends.
Mark: Plus, we can’t overload anyone—no more than four hours at a stretch. We want to keep them fresh and cheerful for the patients.
David: Exactly. I was thinking we could split the day into two shifts: 8 a.m. to 12 p.m. and 1 p.m. to 5 p.m. That way, we can schedule people according to their availability.
Lena: That works, but we should make sure the roles are rotated. Otherwise, someone might end up doing paperwork every time, and they could get bored.
Mark: Good point. Maybe we rotate responsibilities weekly—so if someone greets patients in week one, they could do observation duty in week two.
David: I like that. Also, we need to fill the weekend slots first. Last time, those were hardest to staff.
Lena: I can reach out to the college student volunteers—they seemed happy to work weekends because they’re usually busy with classes during the week.
Mark: That would help. And what about lunch breaks? For the morning shift, no issue, but for the afternoon, maybe we should allow a quick break around 3 p.m.
David: Sure, a 15-minute break should be fine. Another thing—we need at least one person fluent in Spanish on each shift. We’ve got a lot of Spanish-speaking residents.
Lena: Then I’ll cross-check the availability list and flag those volunteers.
Mark: What about emergencies? If someone cancels last minute?
David: Let’s create a small backup list—maybe three people who are willing to be “on call.” We can rotate that responsibility so it’s fair.
Lena: That’s smart. Okay, so to recap: two shifts per day, rotating roles weekly, priority to fill weekends, ensure Spanish coverage, and have an on-call backup list.
Mark: Sounds like a plan. I’ll start drafting the schedule tonight and share it for review.
David: Great, let’s aim to finalize by Thursday so volunteers have enough notice.
