Hi Victor,
Before we finalize anything, I wanted to revisit my distribution shift at the food bank next Thursday. A medical appointment was moved with little notice, and it now overlaps with the first half of the evening shift. I would rather exchange only the customer-service portion of our shifts, especially because I can still arrive in time for inventory and closing duties. Can you confirm whether you can cover the front desk until seven before I take the next step and ask the coordinator to change the official roster?
The difficulty I cannot ignore is that the front desk now uses a new appointment list that you have not handled before. The coordinator can give you a fifteen-minute briefing before opening while another volunteer finishes the warehouse setup. In practical terms, the short training would make a partial exchange safer than an informal last-minute handover.
As of today, your warehouse shift begins at five thirty and mine begins at six at the front desk. I expect to arrive by seven and can then take the desk while you return to inventory. My part would be to take over customer service at seven and complete closing records; yours would be to attend the briefing and cover the desk for one hour. If the new list feels too complicated, I will ask the coordinator for a substitute rather than pressure you.
What makes me hesitate is that I'm grateful that a partial exchange seems possible, but wary of understating the new front-desk procedure. That concern matters because the first hour includes most scheduled family pickups. Still, the briefing takes time away from your normal warehouse preparation. The plan need not promise that my name remains beside every original duty on the roster. What it must do is prevent an informal swap from leaving you unsupported during the busiest period.
Could I ask you to confirm whether you can cover the first hour by Monday night? If the coordinator provides the briefing, I will submit the partial exchange and send you the appointment notes; if that proves impractical, I will request a trained substitute through the coordinator. I will understand completely if the unfamiliar desk role makes the exchange unsuitable.
Take care,
Grace

Hi Grace,
I can until seven. I completed the new appointment-list training last month, so I need only a quick reminder about where Thursday's paper backup is stored.
You can with the coordinator and list me at customer service for the first hour. I ; a written exchange matters here because families should not discover at pickup that our roster and actual desk coverage differ.
I will even though I already know the software, then return to inventory when you arrive. If the coordinator cannot provide the backup list or decides my earlier training is insufficient, you can rather than make an informal swap. Otherwise, attend your appointment without rushing back before seven. I will leave a short note about any unresolved family pickup so your closing records begin with a complete handover.
Best,
Victor
