Dear Elena,
I can no longer travel to Vancouver for Tuesday's Global Innovators Summit because a supplier check has put four major deliveries at risk, and my managers need me in Toronto for the next two days. I must coordinate new plans with the supplier, warehouse, and shipping teams. I know that leaving an opening speech already listed in the event guide creates another problem for your committee. I am therefore offering two options that you can choose between now.
David Ross can speak in person if the committee approves him, since he helped develop the case studies and reviewed the audience notes with me. He has also presented this material with me at two client events. David can reach Vancouver on Monday evening and attend the equipment check. However, please do not book his travel until the program chair confirms that he meets the summit's speaker requirements. His knowledge makes him a strong candidate, but I cannot replace the announced speaker without approval.
I can send David's profile, headshot, new introduction, and a short note about the change before 3:00 p.m. today. If the committee decides quickly, the printer should have time to update the guide before final pickup. If changing the speaker causes concerns for sponsors or the program, I can give the opening by live video and join the question period. Video would keep me in the speaker role and avoid travel. However, it may feel less lively, and a technical problem could interrupt the session.
Please choose one option by tomorrow afternoon: approve David in person, or keep me as the speaker by video. I can brief David, adjust the examples for this audience, and remain online during the event. However, each plan needs different guide text, travel bookings, and practice. Preparing both plans halfway could leave neither one fully ready. A choice by the deadline will also prevent needless travel costs and mixed instructions to the printer. Making one clear choice now will take real pressure off everyone. Please let me know if the committee needs any other information before making its decision. Please reply today if possible.
Warm regards,
Julian Hart

Dear Julian,
Thank you for the quick heads-up, and no worries at all about the timing. The committee completely understands that the supplier issue requires you to , but the opening slot still needs one fully prepared plan.
David sounds like a genuinely credible substitute because he knows the material so well, yet his participation still remains on our side.
Could you please send the profile, headshot, revised introduction, and short change note so the printer can move quickly if the substitution is approved?
If the committee decides against the speaker change, we will happily prepare along with a technical backup for the question period. Either way, we will make one final choice , so travel, guide text, and rehearsal can all be completed for the selected plan. Please confirm when you can that you will stay available online for any last clarification during the event. Thanks again for handling this so thoughtfully.
Warm regards,
Elena Ruiz
