Hi Kim,
We still need to resolve one part of the plan for volunteer coverage for next month's riverside fun run. Registration has exceeded last year's total, and the route manager wants every station staffed before opening the remaining participant places. It seems most practical to move two volunteers from registration to the second water station, given that the station will serve both the five-kilometre and ten-kilometre runners. Could you review whether registration can operate with the smaller team before I go ahead and publish the final volunteer assignments?
The difficulty is that several runners still need to collect fundraising envelopes and child-sized race shirts. The community centre can provide a separate table for envelopes if it receives the list by the previous Wednesday. This matters because splitting special collections from ordinary check-in would let a smaller registration team work efficiently.
Right now, six volunteers are assigned to registration and only three to the shared water station. The route manager requires five people at that station from nine until ten thirty, when both races overlap. I can still prepare the separate collection list and brief the water captain. What I need from you is to redesign the registration flow and identify two transferable volunteers. If registration still needs six people at opening, the transfer can occur after the first twenty minutes.
This is not an entirely easy decision for me: I'm delighted by the registration numbers, yet unwilling to let that success create an unsafe water station, especially as last year's overlap emptied every water jug within fifteen minutes. Despite the benefit, moving people may make the check-in area feel less reassuring at first glance. Whether registration has the same team size as last year matters less to me than whether the shared station could be understaffed at its busiest point.
To keep the timing workable, could you send me a revised registration assignment by next Tuesday? Your confirmation that the separate table makes a transfer workable would allow me to approve the roster and notify both station captains; without it, I will close the final participant places and recruit more volunteers. Your knowledge of the check-in process is essential before I move anyone on paper.
Take care,
Devon

Hi Devon,
I can . The community centre has confirmed the separate collection table, and two experienced registration volunteers are willing to move outdoors while keeping their original finish time.
I because the shared station will serve both races at once. With envelopes and child-sized shirts separated from ordinary check-in, you can without weakening the opening desk.
I will on the revised flow and make sure they know whether they move immediately or after the first twenty minutes. I will also give the registration team a written point for redirecting special collections, so the change does not depend on one person's memory. If either volunteer withdraws before the roster deadline, you can until another trained person is found. Otherwise, the transfer protects the busiest water period while keeping check-in workable.
Best,
Kim
