Dear David,
I am writing to confirm the training plan for the new scheduling and client-note software our office will start using across all three teams next month. For years, reception, sales, and support staff have kept separate calendars, spreadsheets, and paper sign-in sheets. That has worked for small volumes, but missed updates now create confusion when clients call about appointments or follow-up notes. The old sign-up sheets will be phased out by the end of November, so each team needs a basic training slot before then.
To make the change manageable, we have arranged hands-on workshops during the second week of October in the fourth-floor training room. Each session will cover signing in, transferring existing appointments, updating client notes, exporting the daily list, and asking for help when a record looks wrong. The trainer will bring sample appointment cards so staff can practise without using real client files. I know your unit has several service deadlines that week, so I am trying to place staff in sessions that do not leave the front desk short. Still, broad participation is necessary if we want the switch to happen without missed calls or duplicated bookings.
Every staff member under your supervision should attend one introductory session. The only exception is for employees assigned to off-site service calls that week. They may watch the recording through the secure link, but they must complete the short practice quiz by the end of the month. Managers will receive attendance summaries so they can follow up with anyone who misses the first round. I also want each team to choose one person who can answer simple questions during the first week.
Please review the attached draft roster and tell me whether the proposed time slots match your team's availability. If too many people have conflicts, we may be able to add one evening session. Could you also tell me if anyone needs remote access to the recording, travel accommodation, or an accessibility adjustment. I would appreciate your written feedback by Thursday this week so I can finalize the room bookings and confirm the timetable with the trainer. A short practice guide will follow each workshop.
Best regards,
Elena

Hi Elena,
Thank you for sending the roster. Our team agrees that the move to one booking system needs , not a mixture of old and new calendar habits.
Two of the proposed periods overlap with our service deadlines, so please before confirming attendance. The Wednesday morning group works for three staff members, while the Friday afternoon group would leave reception uncovered.
If the conflicts cannot be resolved within the daytime schedule, would be useful for the remaining staff rather than squeezing everyone into an unsuitable slot.
The two employees assigned to off-site calls will use the recording, but they will still need to by month end so their completion can be recorded. I will also identify anyone who needs when I return the revised availability list tomorrow.
Best,
David Morgan
